Nautis vs Zoho One: two ways to run a company from one system

Nautis vs Zoho One for startups: department depth against fundraising and runway, all-employee costs at four team sizes, and who should pick Zoho.

By Baltej Singh, founder of Nautis · Updated Oct 31, 2026

Summarise

Both products promise one system for the whole company. Zoho calls Zoho One the operating system for business. We call Nautis an AI business operating system for startups. The words are close, but the products were built for different companies.

Zoho One is a bundle of departmental apps: Books for accounting, People and Payroll for HR, Desk for support, Inventory for stock. Nautis is much smaller. It is organised around what a founder chases each week, such as investors, cash, overdue invoices and open tasks. We use Zoho's own pages for every fact about Zoho, read on 31 October 2026.

Do you have departments, or do you have a founder?

That question settles most cases. If a finance person closes the books, a support team answers tickets and a recruiter runs hiring, each of them needs a real tool, and Zoho One gives them one under a single invoice. Nautis would leave most of those people short.

If one or two founders still hold all of that in their heads, departmental depth mostly goes unused. What hurts is that the investor who went quiet, the burn number and the late invoice sit in separate places and nobody joins them up. That is the job Nautis was built for, and our startup operating system guide explains the idea in more detail.

Three quick checks help. Do you need to file taxes or close books from this system? That points to Zoho. Will you raise money in the next 12 months? That points to Nautis. Will you pass 25 people within a year? Nautis has no startup plan above that, so plan for Zoho or something like it.

Read the top half as Zoho's territory and the bottom half as ours. A startup could rebuild an investor pipeline in Zoho CRM or Creator, since those tools exist to be shaped. We haven't tried it, and you would be the one designing and maintaining it. In the other direction, you can't turn Nautis into a helpdesk.

What does the all-employee licence mean for your bill?

It means Zoho's lowest Standard rate comes with a condition: you license every person on payroll, whether they open the software or not. Zoho's FAQ says that if it sees unlicensed employees it will ask you to buy the remaining licences or move to flexible pricing, and that it reserves the right to take further action under the agreement, including termination of service. Staff who don't use a computer or phone are a question for its sales team.

Nautis charges per plan, with a cap on members. That makes the two bills grow in very different ways. These are monthly figures with annual licensing as of October 2026, from the US dollar column of the price file behind Zoho's pricing page, because the page itself localises for each visitor.

Monthly cost by headcount, as of October 2026, in US dollars, assuming everyone needs a seat
TeamZoho One Essentials ($9 a user, not offered in every country)Zoho One all-employee ($37 an employee)Zoho One flexible ($90 a user, or $67 for US visitors)Nautis
5 people$45$185$450, or $335 at $67Launch, $49
12 people$108$444$1,080, or $804 at $67Fleet, $129 (Voyage stops at 10)
25 people$225$925$2,250, or $1,675 at $67Fleet, $129
40 people$360$1,480$3,600, or $2,680 at $67Above the 25-member cap

The break-even is about 41%, or about 55% at the US rate. At $90, flexible costs a little under two and a half times the all-employee rate, so it only wins when you license fewer than about 41% of staff. At 40 people, 16 flexible seats cost $1,440 and undercut the $1,480 all-employee bill. At 17 seats, all-employee is cheaper. At $67, the same line falls between 22 seats ($1,474) and 23.

Essentials depends on your country. The pricing page's code shows that plan only to visitors in Mexico, Canada and a list of Latin American and Caribbean countries, and removes it for everyone else, including the US, so we couldn't confirm a US, European or Indian company can buy it. Where it is offered, at 5 and 12 people it costs less than the Nautis plan you would need, and its FAQ lists Bigin, Mail, Projects, Desk and People. The FAQ carries three versions of that list and one leaves out Books, so confirm yours. Moving between Essentials and Standard applies to all users in the organization. The price file gives $9 in US dollars, C$13 in Canada and 180 pesos in Mexico with annual licensing.

Other billing details. Paying monthly raises Zoho's rates to $11, $45 and $105. On the yearly view for US visitors, the page code strikes through $90 and shows flexible at $67, per user per month, and the pricing FAQ uses the same entry. We read that in the code rather than in a US browser, and it gives no end date, so check your own view. Zoho's prices exclude VAT, and its FAQ says it offers no discounts. Nautis yearly plans give 2 months free, which brings Launch to $40.83, Voyage to $82.50 and Fleet to $107.50 a month. See Nautis pricing.

The Nautis figure is not the whole bill. Add an accounting product, a payroll provider for statutory filings and moving money, and any helpdesk you need, because Nautis doesn't do those jobs. Investor deals and leads pipelines are also limited on Launch, and the cap table starts on Voyage. Our tool tax calculator helps you total what you would really pay.

Zia and the Chief of Staff, as their own pages describe them

Zoho describes three AI layers. Zia Skills are features inside its apps, such as lead scoring, ticket auto-fill and meeting summaries. Zia Agents are purpose-built agents, with 100+ pre-built ones in an Agent Store and a low-code Agent Studio. Zia Chat is a conversational layer across its apps. Nautis has one main AI surface for this job, the AI Chief of Staff. None of this was tested by us.

Zoho's advantage is reach. If your customers, tickets and books all live in Zoho, Zia Chat's sales example of finding deals that have gone cold, have open tickets or carry overdue invoices is something a startup workspace in Nautis can't match, because Nautis has no ticket data. Its Zia page also says Zoho prefers building AI into its software over adding pricey AI licences or per-use fees, while Nautis meters AI with credits.

The Nautis advantage is the subject matter and the default posture. The briefing treats runway and fundraising as first-class items, and action waits for a person unless an admin changes that. We couldn't confirm from Zoho's pages whether Zia Agents is included in a Zoho One licence, so ask them. If you are weighing a homemade version instead, see build vs buy an AI chief of staff.

A 14-person startup, eight months of cash, one quiet lead investor

Suppose you have 14 people on a seed round. Your lead hasn't replied in 11 days, burn went up after two hires, and a customer's invoice is three weeks late. You sell by contract and have no support team yet.

  • On Zoho One: the late invoice sits in Books and the customer in CRM, so Zia Chat's overdue invoice example fits well once you have access. The investor is harder, because you would first need to build a pipeline for it. Runway would be your own report or a spreadsheet. The all-employee bill is 14 x $37, or $518 a month with annual licensing, and it includes accounting and payroll tools you would otherwise buy.
  • On Nautis: Fleet is $129 a month, since Voyage stops at 10. The invoice appears in the 7:00 am briefing with a Send reminder action. Raise HQ lists Follow up today, and Beacon drafts the note to your lead for you to Approve & send. Runway comes from your last monthly check-in, so the number is only as fresh as what you entered. You still need an accountant's system and a payroll provider.

Now change the facts. Give the same company 45 staff, a support queue and a warehouse. Nautis is out on headcount alone, and Zoho's apps start earning their licence. Founder-stage needs and department-stage needs really are different, so the right answer can change as you grow.

Where Nautis is weaker than Zoho One

  • Depth in almost every shared area. Zoho has a separate app for accounting, payroll, recruiting, marketing automation and support. Nautis has a module or nothing.
  • Track record. Zoho's homepage cites 80,000+ businesses and 19,000+ reviews. Nautis launched publicly on Product Hunt in July 2026, and few independent reviews exist.
  • Size limit. The largest Nautis startup plan stops at 25 members. Zoho's FAQ says there is no minimum licence count, and we saw no upper cap on the pages we read.
  • Customisation. Creator, Flow and RPA let you build apps and processes that Nautis has no equivalent for.
  • Companies on Zoho Calendar. The Liftoff setup names Google and Microsoft calendars and requires one to continue. MailBox can connect Zoho mail where enabled, but test your setup during the trial.
  • Attention. Approvals by default mean somebody has to review them, and the briefing skips sources with no data. A half-filled workspace gives you a thin morning.

Who should choose Zoho One

Choose Zoho One if most of these describe you. We'd rather you didn't buy Nautis if they do.

  • You want accounting, payroll, HR and support inside one vendor, and people will actually use those apps.
  • You have more than 25 people, or expect to within a year.
  • You aren't raising, so investor tools would sit idle. Profitable service firms and small manufacturers are the obvious examples.
  • You sell through a helpdesk, an online store or a warehouse.
  • You have someone who enjoys configuration, or a Zoho partner, since 45+ apps need setting up before they pay off. Zoho's Jumpstart and Concierge options exist for that reason.

If Zoho One seems too large but Nautis isn't right either, our page on Zoho One alternatives looks at other routes, and all-in-one software for startups sorts the field by stage.

Who should choose Nautis, and can you run both?

Choose Nautis if you are pre-seed to Series A with 25 people or fewer, a raise is live or close, and you want someone preparing the day's follow-up. Liftoff takes about four minutes from a website or deck, so the 14-day trial shows quickly whether the workspace fits. Check your runway first if you aren't sure how urgent the raise is.

Running both can make sense with a firm split. A startup could keep Books and Payroll in Zoho while running investors, runway and tasks in Nautis. Avoid keeping customers, invoices or tasks in both, because two sources of truth will mislead both Zia and the Chief of Staff. Our ERP and business OS comparison can help you draw that line.

FAQ

Is Nautis or Zoho One better for a startup?

It depends on what the startup needs most. Nautis suits a team of up to 25 focused on fundraising, runway and tasks, while Zoho One suits one that needs accounting, HR, helpdesk and marketing apps. A startup with no raise planned and real departments will usually get more from Zoho One.

How much does Zoho One cost for a 25-person company?

With annual licensing as of October 2026, the price file behind Zoho's pricing page gives US$925 a month on all-employee pricing and US$2,250 on flexible pricing, or US$1,675 at the $67 rate its page code shows US visitors. Essentials would be US$225, but that code only offers it in Mexico, Canada and parts of Latin America and the Caribbean. Monthly billing costs more, and prices vary by country. Nautis Fleet is $129 a month for up to 25 members, but it covers far less.

What does Zoho One all-employee pricing require?

You must buy a licence for every employee in the organization, even someone who rarely logs in. If you only need some people licensed, Zoho points you to flexible pricing at a higher rate per user. At the listed annual rates, flexible only costs less if you license under about 41% of staff, or about 55% at the $67 rate shown to US visitors.

Is Zia the same as an AI chief of staff?

Not as Zoho's pages describe it. Zia is a set of AI features, agents and a chat layer across Zoho apps, with a founder health check given as one example of use. The Nautis Chief of Staff generates a daily company briefing and holds agent actions for approval by default.

Can Nautis replace Zoho One?

Only for a small startup using a narrow part of it. Nautis has no bookkeeping, tax filing, statutory payroll or helpdesk, so a company relying on Books, Payroll or Desk should stay. It adds fundraising and runway tools that weren't listed on the Zoho pages we read.
