What it does

Routines are standing orders for your AI agents. You pick a job from a catalog, or describe your own, and it runs on a schedule (every weekday at 9:00 AM, say) or whenever something happens in your workspace (a new lead comes in, a meeting ends). After each run you get a summary, and anything the routine wants to change still follows your approval rules.

Who can use it

  • Anyone with read permission for Chief of Staff can see the routines list, each routine's settings, and its run history.
  • Only organization Owners and Admins can add, edit, run, pause, resume, or remove a routine.
  • Your plan caps how many routines your organization can have at once: 5 on Launch, 10 on Voyage, 15 on Fleet. This is a total, not a monthly allowance. Removing a routine frees a slot.
  • Every run uses AI credits, except where a routine's card shows about 0.

Where to find it

Click Chief of Staff in the sidebar, then Routines. You can also open global search (Cmd/Ctrl + K) and choose Add a routine.

The page has two views: My routines (what your organization already has) and Explore (the catalog). If you only have the built-in routines, it opens on Explore.

Step by step

Add a routine from the catalog

  1. Click Add routine or open Explore.
  2. Use Search routines or the category buttons: Briefings, Meetings, Sales, Fundraising, Finance, Team, Operations, Growth, Research, Email, and Custom. Suggested for you at the top picks routines for your company's stage.
  3. Each card shows the category, when it runs (or Triggered), a Read-only label if it changes nothing, and its estimated cost, such as "~6 credits / run".
  4. Click a card to read about it: the description, How it works, what it has permission to do, and what You choose. Then click Configure, or click Add directly on the card.
  5. In Set up Routine name, fill in:
    • Name — shown in your list. It starts as the routine's catalog name.
    • Your settings — the choices for this routine, such as which stages or boards to look at. Some routines have nothing to set.
    • When it runs — choose the Cadence (Every day, Weekdays, Weekly, or Monthly), the Day or Day of month if needed, and the Time. The sentence underneath confirms the schedule, your organization's timezone, and the next run.
    • How you hear back — any of In-app notification, Email summary, and Chief of Staff chat.
  6. Check the Permissions box. It lists what the routine Can read and Can write, and whether writes asks first or runs automatically.
  7. Optional: click Try it once to run it one time with these settings before anything is scheduled. The result appears in a Test run box, and writes still ask first. This uses credits.
  8. Click Add routine.
Step by step

Write a custom routine

  1. In Explore, find Custom Routine under Custom and click Add.
  2. Under What should the agent do each run?, write the instruction. Be specific, because it can't ask you follow-up questions.
  3. Choose who it should work as under Run as. It starts on your Chief of Staff, and it can use every tool that advisor has.
  4. Set When it runs and How you hear back, then click Try it once or Add routine.
Step by step

Use triggered routines

Some routines run because something happened, not at a set time. They show Triggered on the card and a lightning icon in your list. Examples include New Lead Welcome ("whenever a new lead is created") and Decision Logged ("whenever a decision is logged").

  1. Add the routine the same way. When it runs shows the event instead of a schedule: "Triggered routines fire on the event itself — no schedule to set."
  2. Try it once isn't available for these. After you add it, the routine runs on the next matching event.
Step by step

Change a built-in routine

Your organization starts with built-in routines, marked Built in: Morning Briefing, Evening Wrap-up, Monday Weekly Digest, Monthly Review, Monday Plan, Friday Review, Daily Nudge, Friday Receipt, and Meeting Prep Nudge.

  1. Open one in My routines and click Edit, or click Customize on its card in Explore.
  2. Change the time or delivery and save. To stop it instead, open the three-dot menu and choose Pause.
  3. Built-ins can't be removed while untouched, only paused. Once you've changed one, it becomes a regular routine that you can also Remove, which brings back the original built-in.

Evening Wrap-up stays paused unless the evening brief is enabled for your workspace.

Step by step

Check how a routine is doing

Select a routine in My routines. The list groups them under Active and Paused. The detail page shows:

  • Settings — the answers you gave.
  • Schedule & delivery — when it Runs, the Next run, Last run, Timezone, and how results reach you.
  • Permissions — what it can read and write.
  • Cost — credits Per run (estimated until a run has been measured) and Per month.
  • Recent runs — up to the last 20 runs, each with a status: Completed, Failed, Waiting for approval, Running, Queued, or Cancelled. A label shows why it ran: Scheduled, Run now, Triggered, Try it once, or Resumed after approval. Click Transcript to read the full run, or Briefing for briefing routines.
Step by step

Run, edit, pause, or remove a routine

Owners and Admins see these on the routine's detail page:

  • Run now — runs it once, outside its schedule. You'll be notified when it finishes. It's disabled while a run is in progress.
  • Edit — reopens the setup form. Click Save changes when you're done.
  • Three-dot menu, then Pause or Resume — stops or restarts it.
  • Three-dot menu, then Remove — confirm in the Remove this routine? dialog: "It stops running immediately. Past run transcripts stay in the AI Advisory Board."
Step by step

Approve what a routine wants to do

  1. If a routine's write is set to asks first, the run stops and shows Waiting for approval. A banner on the routine says how many actions are waiting in the Approval Center.
  2. Click the banner, or open Chief of Staff and click Approvals, then decide.
  3. Once approved, the run carries on and appears in Recent runs as Resumed after approval.

To let some writes run without asking, change them under Chief of Staff, Settings, Agent Autonomy. See AI Governance.

Tips & limits

  • Limits by plan: 5 on Launch, 10 on Voyage, 15 on Fleet. Explore shows your count, such as "3/5 routines used". At the limit you'll see "You've reached the limit of 5 routines for your plan."
  • Paused routines still count toward the limit. Untouched built-ins don't, but a built-in you've changed or paused does.
  • Times come in 5-minute steps and use your organization's timezone. Monthly routines can run on the 1st through the 28th.
  • Quiet runs with nothing to report stay silent. Recent runs still records them.
  • In-app notification goes to the person the routine runs as, plus your organization's Owners and Admins. Find results in Chief of Staff, Notifications.
  • Email summary goes to the person the routine runs as, subject to their email preferences.
  • Chief of Staff chat only posts if that person also turned on Post routine results into my chat under Chief of Staff, Notifications, Settings.
  • After 3 failed runs in a row, a routine pauses itself and shows Paused after failures with the last error. Fix the cause, then click Resume.
  • A run that can't start because AI credits have run out counts as a failed run.
  • Each routine shows runs as a person. If that person leaves the workspace, the routine pauses until an Owner or Admin clicks Run as me and resume.
  • Some routines need something connected first. You'll see a reason on the card with a button such as Connect email. Routines that need a module you haven't activated may show Activate or may not appear at all.

Frequently asked questions

Will a routine change or send things without asking me?

Not unless you've allowed it. Writes follow your organization's autonomy settings, and the Permissions box tells you which applies: asks first or runs automatically. A routine marked Read-only can't change anything.

What's the difference between "Try it once" and "Run now"?

Try it once tests your settings while you're setting up, before anything is saved. Run now runs a routine you've already added, and the run appears in its history. Both use credits.

Does a paused routine use credits?

It doesn't run on its schedule or on events while it's paused, so it spends nothing unless someone clicks Run now. It does still count toward your plan's routine limit.

I removed a routine. What happens to its history?

It stops immediately. Transcripts of its past runs stay in the AI Advisory Board.

Why can't I add a routine?

Only Owners and Admins can add routines. If you are one, check the card for a reason, such as a mailbox that needs connecting. If saving tells you you've reached your plan's limit, remove a routine or upgrade.

Can my team see routines?

Yes, anyone with read permission for Chief of Staff can see them and their run history. Only Owners and Admins can change them.
